Privacy Policy
Effective date: 3 August 2026
This Privacy Policy explains how Omonae collects, uses and protects information when you use the Omonae website and application.
This applies to the Omonae marketing website (omonae.com) and the Omonae application (app.omonae.com), together "the Service".
1. Information we collect
When you use the Service we may collect:
- Messages sent to and from the AI receptionist
- Booking details: name, phone number, service and appointment time
- Your LINE User ID, where you choose to connect LINE
- Enquiry details you submit through our contact form
- Account details for business users, including email address and a hashed password
- Technical information such as browser and device type, IP address and timestamps
We do not intentionally collect sensitive personal information unless you choose to provide it.
2. How we use information
We use information to:
- Take, confirm, change and cancel bookings
- Generate the AI receptionist's replies
- Send booking confirmations and notifications
- Provide the business dashboard to the business you are booking with
- Diagnose technical problems and prevent abuse
- Respond to enquiries
- Maintain the security and reliability of the Service
3. Businesses and their customers
Omonae is provided to businesses, who use it to take bookings from their own customers. Where you book with a business through Omonae, that business is the controller of your booking information and we process it on their behalf, under our agreement with them.
Business data is separated per business. Demo sessions are isolated from live business data and are deleted automatically after a period of inactivity.
4. AI processing
Messages sent to the AI receptionist may be processed by third-party AI providers in order to generate a reply. Please do not submit confidential, financial, medical, legal or other highly sensitive information through the chat.
The AI does not create bookings on its own authority: availability and booking rules are validated on our servers before any booking is made.
5. LINE
If you communicate with us or a business through LINE, your use of the LINE application remains subject to LINE's own Terms of Use and Privacy Policy. The LINE Platform may provide us with certain information, such as your LINE User ID and message content, so that we can deliver booking confirmations and respond to your requests. We use that information solely for operating the Service.
6. Third-party services
The Service uses third-party providers, which may include:
- LINE Login and the LINE Messaging API
- AI model providers
- Database and hosting providers
- Rate-limiting and infrastructure providers
These providers process information only as necessary to provide their services to us.
7. Cookies
We use cookies and equivalent storage only where needed to operate the Service: keeping you signed in to the dashboard, remembering your language, and keeping a demo session attached to your browser. You can disable cookies in your browser, but parts of the Service will then not work.
8. Data retention
We retain information for as long as reasonably necessary to operate the Service, meet legal obligations, resolve disputes and protect against misuse. Demo session data is deleted automatically after a period of inactivity. Data may be deleted sooner on request where legally applicable.
9. Security
We take reasonable technical and organisational measures to protect information against unauthorised access, alteration, disclosure or destruction. Passwords are stored hashed, session tokens are cryptographically signed, and administrative endpoints require an authenticated session. No method of internet transmission or electronic storage is completely secure.
10. Your rights
Depending on your location, you may have rights to:
- Access the information we hold about you
- Correct inaccurate information
- Request deletion
- Restrict or object to certain processing
- Withdraw consent where processing relies on it
To exercise these rights, contact us using the details below.
11. Children's privacy
The Service is not directed at children under 13. We do not knowingly collect personal information from children.
12. Changes
We may update this policy from time to time. Updates take effect once published on this page.
13. Contact
Questions about this policy can be sent to the contact address listed in our statutory disclosures.
